What does managed IT actually cost?
Per user, per month, flat: Essentials is $65/user and Managed is $110/user, both with a 5-seat minimum. A 12-person office on Managed is 12 × $110 = $1,320 a month — the Plan Builder above does the maths live.
What moves the number: seat count, the plan tier, and add-ons (M365 backup $6/user, security bundle $18/user, VoIP $30/handset). Nothing else does. Projects like migrations are quoted separately, in writing, before we start.
What's included, and what's extra?
Essentials: unlimited helpdesk, patching, monitoring and managed antivirus — the plan for businesses with simple needs and no server. Managed adds EDR (detection and response, not just antivirus), full Microsoft 365 administration and a quarterly vCIO review where we plan spend with you.
Extra, and always quoted first: hardware, software licences, projects (migrations, office moves, new servers) and after-hours work outside your plan's cover.
Do we need to replace everything?
Usually no. The health check starts with an asset audit, and most fleets are healthier than their owners fear — we'll tell you the three machines that are actually the problem and leave the rest alone. Replacement advice comes with ages, warranty status and a spread-out schedule, not a single scary invoice.
What happens when something breaks at 2am?
Monitoring runs 24/7 on both plans, so we usually know before you do. On Managed, P1 incidents — a down server, the whole office offline — get a human working on it within one hour, any hour, guaranteed in writing. On Essentials, after-hours response is next business morning by default, with per-incident after-hours help available at the ad-hoc rate.
Are we too small for this?
Plans start at 5 seats. Under that, the honest answer is ad-hoc support at $150/hr (minimum one hour) — a two-person office rarely gets value from a plan, and we'd rather say so. When you hit five people, the maths flips, and we'll show you exactly when.
What about the server in the cupboard?
Some workloads should move to the cloud, some shouldn't — the audit says which. Line-of-business apps with local licensing, big CAD files, or anything latency-sensitive can be better on-site; mail, files and most accounting packages almost never are. We'll give you the cloud-vs-keep call per workload, with the costs beside each, before anything moves.
