Your providers get paid in three business days. You stop chasing.

Your statement lands on the first business day of every month.

How much of your month is invoices?

However many land in a normal month.

Under three a month we tell you to keep self-managing.

5 providers
One month of provider invoices, drawn against a six-hour scale Thirty invoice slots. The filled slips are your invoices this month; the bar beneath shows the time they take on a fixed nought-to-six-hour scale.
3.6 hours a month and 43.2 hours a year

How an invoice gets paid

  1. 1Your provider sends us the invoice
  2. 2We check it against your plan budget

Five providers means five invoice formats, five sets of dates and five accounts inboxes. That is the part we take off you.

Twelve minutes an invoice is our estimate — checking it against the plan, claiming it, filing it. If yours is faster, tell us and we will use your figure.

What we do

Everything on this list is part of plan management

There is no menu here, and no upgrade. A plan manager does one job and this is the whole of it.

  • Paying your providersChecked against your plan budget, claimed, and paid — within three business days of the invoice reaching us. Included
  • Claiming against your planEvery claim made by us, in the right support budget, with the invoice attached to it. Included
  • Your monthly statementWhat came in, what was paid, and what is left in each budget. First business day of the month, every month. Included
  • Budget answers on any dayRing and ask what is left. You should not have to wait until the first of the month to know. Included
  • Setting up a new providerSend us their details. We set them up and pay their first invoice on the same terms as everybody else’s. Included
  • Questioning an invoiceIf a figure looks wrong we hold it, ring the provider ourselves, and tell you what they said. Included
  • Moving to us mid-planTell us you want to move. We do our part of the paperwork and tell your providers where to send invoices from now on. Included
  • Working with your support coordinatorIf you have one, they get the statement too, and we answer their questions without going through you first. Included

There is not one dollar figure in that column, and that is on purpose.

The NDIA sets the price for plan management. We do not set it, and we do not add anything to it, so there is nothing on this page for us to quote you. Any plan manager showing you a fee list is either quoting the NDIA back at you or charging you something extra.

ndis.gov.au says funding for a plan manager can be included in your plan when you ask for it at your planning meeting, that this funding is separate to your other NDIS supports, and that it can only be used to pay a plan manager.

Plan management is funded through your plan, not out of your pocket — ask for it at your planning meeting and we will confirm the current price limit with you before we start.

We have deliberately not printed a price limit, an establishment fee or a funding rule here. Those figures change, and a wrong one on this page would cost you more than a missing one. The source we did read is named in how this page was built.

Your choice, not ours

The NDIS sets out three ways to manage the funding in a plan

Plan management is the second of them. It is a choice, and it is worth making on the facts rather than on whoever rang you first.

  1. 01

    Self-managed

You, or your nominee, pay your providers and keep the financial records yourself.

  2. 02

    Plan-managed

A plan manager pays your providers and keeps the financial records for you. That is us, or somebody like us.

  3. 03

    NDIA-managed

The NDIA pays your providers and keeps the records. It is sometimes called agency-managed.

Why people move to us

Four things that are actually different

Every plan manager in Perth does the same job. These are the four places where the doing of it differs, and they are the four things people ring us about.

01 · The phone

A person, in Joondalup

You get a name and a direct line. Ring at nine in the morning and you will speak to somebody who has your plan open in front of them, not a queue and not a ticket number.

02 · The check

Every invoice is read before it is paid

Against the budget it is claimed from, against the dates, and against what you told us to expect. Wrong invoices happen. The point of a plan manager is that you are not the one who has to spot them.

03 · The clock

Three business days, and we tell you

Not “up to ten business days”. Three. If something is going to hold an invoice up, you hear it from us before the provider rings you about it.

04 · The statement

One page first, then the detail

What came in, what was paid, what is left. It lands on the first business day of every month, and it goes to your support coordinator too if you want it to.

What people say

Three people, in their own words

I kept a paper folder for two years. The first month with Wattlebird they found an invoice a provider had sent us twice and just — told me. I did not have to notice it.

The folder is in the shed now.

Rachel · mother of a participant · Kingsley

I send through a new provider on a Tuesday and they are set up and paid before I have followed it up. That sounds like a small thing.

It is not a small thing. It is the difference between me working on somebody’s plan and me working on somebody’s accounts inbox.

A support coordinator · Wanneroo

Dad self-managed for two years and did it properly. When the plan grew to six providers it stopped being manageable and I rang Wattlebird half expecting a sales pitch.

First thing they asked was how many invoices a month.

Michael · son of a participant · Duncraig

These three are demonstration copy written for this page. Wattlebird is a fictional business, so nobody has been quoted, and no review here is marked up as structured data.

Where we work

Joondalup and the northern corridor — and the rest of WA by phone and email

Plan management is not a job that needs somebody in your kitchen. We meet participants in the northern suburbs, and we look after plans from Kalbarri to Esperance without ever getting on a plane.

Wattlebird’s northern-corridor service area A simple map of Perth’s northern corridor, from Two Rocks in the north to Warwick in the south, with the Indian Ocean along the western edge and the Joondalup office marked.

Outside the corridor? Say where you are in the form. Plenty of the plans we manage belong to people we have never stood in the same room as, and the distance has never once slowed an invoice down.

Questions

The six we get asked most

What does a plan manager do — and what don’t you do?

We pay your providers, we claim against your plan, and we keep the financial records. That is the job.

We do not choose your providers, we do not decide what goes in your plan, and we do not write reports about you. If you want somebody to help you find supports and hold them together, that is a support coordinator, and it is a different job with a different person doing it.

Can I move to you in the middle of a plan?

People move to us mid-plan most weeks. You tell us, we do our part of the paperwork, and from then on your providers send their invoices to us instead. What has already been claimed stays claimed — nothing you have spent is unwound.

Who talks to a provider about an invoice I think is wrong?

We do. Ring or email us and we hold the invoice where it is while we ask. You get an answer from us in plain words, not a forwarded email chain — and nothing is paid until you have said you are happy with it.

What happens to budget I don’t use?

It stays in your plan. We cannot take a share of it and we cannot spend it — we can only pay an invoice from a provider you have chosen.

What we can do is tell you which budgets are moving slowly, with enough of the plan left to do something about it. What happens to a budget when a plan ends is a question for your planner or the NDIA, and we are not going to guess at it on a web page.

Do I still choose my own providers?

Yes, and that does not change because somebody else is handling the money. We have no preferred list and nobody pays us to be on one. If you want a provider we have never dealt with, send us their details and we will set them up.

How fast does a new provider get set up?

Same day if their details reach us before mid-afternoon, next business day otherwise. Their first invoice is paid on the same three-business-day terms as everybody else’s — no waiting period for being new.

Tell us who the plan is for and we will ring you

Six fields. No account, no portal, and nothing that needs the plan in front of you.

This is a demonstration page. Nothing you type is sent anywhere or stored — the confirmation below is drawn in your own browser.

(08) 9000 0433

Monday to Friday, 8:30am to 4:30pm. Somebody in Joondalup picks it up.

If you would rather not ring, use the form and say when suits — we will not ring before you have asked us to.

Already plan-managed and unhappy? Say so in the message. Moving mid-plan is ordinary and it does not cost you anything.

This is a demonstration build by Sapience Analytics. Want one pointed at your customers?

Wattlebird is not a real plan manager. The page is real — the invoice strip, the copy, the form, the decision not to print a single NDIA figure on it. We build pages like this for WA businesses who are losing enquiries to a contact form and a phone number.
